Executive Secretary

Job Description

Key Responsibilities

  • Manage calendars, schedule appointments, and coordinate meetings.
  • Draft, proofread, and manage correspondence, reports, and presentations in English.
  • Handle confidential documents and information with utmost discretion.
  • Organize travel arrangements, itineraries, and accommodation bookings.
  • Maintain files and records in a well-organized and secure manner.
  • Act as the first point of contact between the executive and internal/external parties.
  • Perform personal tasks and errands as requested.
  • Prepare minutes and summaries of meetings.
  • Assist in various administrative tasks to ensure smooth day-to-day operations.

Requirement

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Fluent in spoken and written English.
  • Excellent verbal and written communication skills.
  • Strong secretarial and administrative skills.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Professional appearance and demeanor.
  • High level of integrity, discretion, and confidentiality.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Positive, proactive attitude and willingness to take initiative.

Preferred Attributes

  • Prior experience as a Personal or Private Secretary is a plus.
  • Well-organized with attention to detail.
  • Energetic, enthusiastic, and polished personality.
